I see duplicate entries in QuickBooks or Xero

What to check when you see duplicate Taxomate entries in QuickBooks or Xero.

You see two entries that look the same in QuickBooks, Xero or Wave. First find out if they are real duplicates. Then find out who made them. Then fix them in a safe order. Do not send the settlement or payout again until you know the cause.

Amazon accounts see Settlements. Other sales channels see Payouts. The steps are the same.

Step 1: Check if they are real duplicates

These look like duplicates, but are not:

  • A split settlement. Taxomate can send one settlement as two entries when it crosses a month. You see two invoices or two journal entries, and one bank payment. See "Why does taxomate split my Amazon settlements into different invoices?" and "What is the Carried Balance Account?". A split settlement has one entry for each month, so the entries have different dates.

  • Sales and COGS. If you use cost of goods sold, Taxomate sends the sales and fees entry and a separate COGS entry. They are two different entries.

  • Two settlements or payouts with the same amount. Compare the settlement ID or payout ID, not the amount.

Step 2: See what Taxomate sent

  1. Open the settlement or payout in Taxomate.

  2. Select the History tab. Each send is listed with its Transaction ID. On the Payouts list you can also select Posting references on the row.

  3. Compare these IDs and the document numbers with the entries in your books.

Look at the results:

  • Both entries are in the History. Taxomate sent the settlement twice. Go to Step 3.

  • Only one entry is in the History. The other entry did not come from this send. It may come from another app, or from an earlier send that you deleted in Taxomate and not in your books. Go to Step 4.

  • The History is empty ("Not sent yet"). Taxomate did not send it. The entries come from somewhere else. Go to Step 4.

The History shows what Taxomate saved. It does not check your books now. Always look at the entries in QuickBooks, Xero or Wave too.

Step 3: Taxomate sent it twice

Do these steps in order.

  1. Turn off Automatic sending. If it is on, Taxomate can send the settlement again after you delete the entries. See "Automatic sending in Taxomate".

  2. If the entries are matched or reconciled with a bank payment, unmatch them first. In Xero, do not delete or resend an entry that has a bank reconciliation until you have confirmed the right steps with your accountant.

  3. Open the settlement. Select More actions, then Delete entries from QuickBooks (or Xero, or Wave). Taxomate deletes the entries it saved.

  4. Check your books. Both entries should be gone.

  5. Send the settlement once. Check the result before you send more.

If the page says Some entries may already be in QuickBooks or This is already in Xero, or Send is hidden, do not send or mark it as not sent. Contact support. See "What does this settlement status mean?".

Use Mark as not posted only when Delete entries failed. It marks the settlement as not sent even if the entries are still in your books. Check your books before you send again. See "Delete entries, archive, or mark as not posted: which one do I use?".

For the delete steps in your software, see "How do I delete a journal entry or sales invoice after sending to QuickBooks?", "How do I delete a sales invoice after sending to Xero?" and "How do I delete a sales invoice after sending to Wave?".

Step 4: Another app made the entries

Taxomate does not touch entries that you or other apps created. If another app also posts your sales, you get double sales. For example, a Shopify store can have another app that sends orders to QuickBooks.

  1. Open one entry in your accounting software. Look at the document number and any source or created-by field that your software shows.

  2. In QuickBooks, if you turned on Custom transaction numbers in Settings > Invoice, Taxomate entries have a number like "{prefix}-{number}", with your Transaction number prefix. In Xero, a Taxomate sales invoice has the settlement ID in its Reference field.

  3. If the entry did not come from Taxomate, turn off the sync in the other app. Then remove the entries that it made, in your accounting software.

Taxomate sends one summary for each payout or settlement. Another app that sends each order will double your sales. Use one or the other.

What to send support

If you are not sure who made the entries, contact support from the chat in Taxomate. Send us:

  • The settlement ID or payout ID, and the sales channel.

  • Your accounting software.

  • The document numbers or IDs of both entries, and their dates.

  • A screenshot of the History tab and of the entries.

  • Whether Automatic sending was on, and whether you reconnected or switched your accounting company.

Do not delete entries that are reconciled, and do not send the settlement again, until we answer.
