# Updating COGS after changing Default Costs

After you change Default costs: how missing costs fill in by themselves, and how to replace other costs on settlements you already imported.

After you update your default product costs in **Settings > Default costs**, products that already have a cost on a settlement you imported keep that cost. To use the new costs there, replace the costs on each settlement: open the settlement's **Cost of goods sold** tab and select **Replace costs with defaults**. Products with no cost are different. Taxomate fills them in for you (see the next section).

## When a product has no cost

If a product has no cost in a COGS entry that you have not sent yet, a new or changed default cost fills it in. A cost of $0 counts as no cost. This applies to COGS entries that start in 2026. Taxomate fills only the products with no cost. A product that has a cost on that settlement, also a cost you entered by hand, keeps it.

After you save, Default costs tells you what Taxomate did, for example: "Priced 6 COGS entries. 2 will send within about 15 minutes. 4 are ready to review and send."

- With **Automatically send COGS** on, entries from the last 15 days then send by themselves.

- Older entries wait for you. The **Settlements** page (the **Payouts** page for Shopify, eBay, Walmart and Etsy) shows a banner, for example "3 older COGS entries are priced and ready to send". Select **Send all…**. Taxomate lists the period and the amount of each entry. Check that these months are not closed in your accounting software, then select **Send all**. Each entry sends within 15 minutes, dated in its own period.

- With **Automatically send COGS** off, send each entry yourself from its **Cost of goods sold** tab.

The **Cost of goods sold** tab of a settlement that you have not sent shows the products that still have no cost, for example "2 SKUs have no cost". Select **Open Default costs** to add them.

## OPTION 1. Replace costs for a single settlement

Open the settlement, go to the **Cost of goods sold** tab, and select **Replace costs with defaults**. Confirm with **Apply to this settlement**. This replaces the costs of all products in that settlement with your default costs, and overwrites any costs you entered by hand. Your COGS for the settlement updates.

If you already sent the COGS to QuickBooks or Xero, the tab says: "These costs are already in your accounting software. Delete the COGS entries, then change the costs and send again." So:

1. Select **Delete from QuickBooks** (or **Delete from Xero**) and confirm with **Delete COGS**.

2. Select **Replace costs with defaults**.

3. Select **Send to QuickBooks** (or **Send to Xero**) to send the COGS again.

From now on, Taxomate uses the new default costs for settlements you import after the change.

## OPTION 2. Replace costs on many settlements at once

To replace costs on several settlements, select each settlement you would like to update on the **Settlements** page. Select **More actions** in the bar at the bottom. Under **Cost of goods sold**, select **Replace costs with defaults**.

If you already sent the COGS to QuickBooks or Xero, delete and send again in bulk:

1. Select the settlements, select **More actions**, and under **Remove entries** select **Delete COGS entries**.

2. Under **Cost of goods sold**, select **Replace costs with defaults**.

3. Under **Cost of goods sold**, select **Send COGS**.

👉 From now on, Taxomate applies these new costs to any settlement imported after the change.
