Step Four: Export Shopify Payouts to QuickBooks or Xero

A. Payout Export to QuickBooks or Xero

Imported Shopify Payouts will show up under Payouts on the top menu (payouts may take some time to import).

OPTION 1: Export Individual Payouts
To send an individual payout, first select one from the Payout page.

An orange stripe at the bottom signals the payout has not yet been sent to your accounting software, while a blue stripe shows the payout has been sent.

After reviewing the payout and confirming everything is correct select the Send to QuickBooks or Xero button on the top right:

Please Note: If you make any changes to Accounts & Taxes or Settings, you are going to need to select the Reprocess button on the top.



OPTION 2: Bulk Payout Export

To send multiple payouts at once go to the Payouts page. Select the respective payouts and click the Send button on the top right.

⚠️ Please Note: At this time Xero's API only allows us to send five payouts at a time.


B. Where will the payouts be posted?

QuickBooks Online: In QuickBooks, the payouts will be posted as a journal entry or sales invoice, which can easily be matched with your bank deposit. You must connect your bank account separately to QuickBooks to properly reconcile.


Xero Accounting: In Xero, the payout will be posted as a sales invoice, which can similarly be matched to your bank deposit. You must connect your bank account separately to Xero to properly reconcile.



C. Setting Up Auto Sync

After sending your first payout and checking QuickBooks or Xero to verify it has been imported properly, you are ready to set up Auto Sync.

Auto Sync allows you to automatically send your already imported and future Shopify payouts. Turn on Auto Sync by selecting the sync toggle button on the top left of the Payouts page.

❗ You may wish to only sync future payouts after they are imported from Shopify, not those already in your Taxomate account. To set this up, go to Settings > Invoice and select the checkbox for Auto Sync.
